SAMPLE RESIDENT / NEIGHBORHOOD FILMING NOTICE

When a film or photography production may affect nearby residents or businesses, it's good practice—and may sometimes be required as part of the permitting process—to provide advance notice.

A filming notice should be short, clear and specific. Neighbors generally want to know when you're filming, what will be happening, how it may affect them and who they can contact with questions.

Below is a simple template that productions can customize.

WHAT SHOULD A FILMING NOTICE INCLUDE?

Keep the notice easy to scan and include the information most relevant to the neighborhood:

  • Production company

  • Filming address or general area

  • Shoot date(s)

  • Prep + wrap dates, when applicable

  • Working hours

  • Description of production activity

  • Parking impacts

  • Street or sidewalk impacts

  • Any unusual noise or activity

  • Production contact name

  • Phone number + email

WHEN SHOULD YOU NOTIFY THE NEIGHBORHOOD?

Consider neighborhood notification whenever your production could noticeably affect nearby residents or businesses.

This is particularly important for shoots involving:

  • Large crews

  • Production trucks

  • Reserved street parking

  • Street or lane closures

  • Sidewalk impacts

  • Traffic control

  • Night filming

  • Early call times

  • Generators

  • Bright exterior lighting

  • Significant equipment

  • Special effects

  • Unusual noise

  • Multiple shoot days

Metro Nashville may also require community notification depending on the scope and impact of a permitted production.

KEEP THE NOTICE SIMPLE

A neighborhood filming notice isn't a production memo.

Avoid overwhelming residents with unnecessary production details. The goal is to clearly communicate what is happening, when it is happening, how it could affect them and who they should contact.

Providing a direct production contact is especially important. It gives neighbors somewhere to raise a concern before it becomes an issue on shoot day.

DISTRIBUTING THE NOTICE

Depending on the location and production, notices may be:

  • Hand-delivered to residences

  • Delivered to nearby businesses

  • Posted where permitted

  • Emailed to property managers or building representatives

  • Distributed to neighborhood or community organizations

When notification is required by a permit or government agency, follow the agency's specific requirements regarding who must be notified, how the notice must be distributed and how far in advance it must be delivered.
