WHAT SHOULD A LOCATION RELEASE INCLUDE?

For a straightforward production, a location release or agreement should generally identify:

  • The property

  • Property owner or authorized representative

  • Production company

  • Project or client

  • Shoot date

  • Prep + wrap dates, if applicable

  • Agreed location fee

  • Permission to enter and use the property

  • Permission to photograph or film the property

  • Rights to use the resulting images or footage

  • Any agreed restrictions or special conditions

  • Signatures from both parties

LOCATION RELEASE VS. LOCATION AGREEMENT

The terms location release and location agreement are often used interchangeably, but more detailed productions may use a longer location agreement covering additional business and logistical terms.

A more comprehensive agreement might address:

  • Payment schedule

  • Prep + wrap

  • Overtime

  • Insurance

  • Property damage

  • Security deposits

  • Restoration

  • Parking

  • Areas available to production

  • Areas that are off-limits

  • Set dressing

WHO SHOULD SIGN THE LOCATION RELEASE?

The agreement should be signed by someone who actually has authority to grant the production permission to use the property.

That may be:

  • The property owner

  • An authorized property manager

  • A business owner

  • An authorized representative of a company

  • Another party legally authorized to approve filming

A tenant or employee should not automatically be assumed to have authority to approve commercial filming.

DO YOU STILL NEED A NASHVILLE FILM PERMIT?
